AI Meeting Notes

Connect Fathom to Vetta and every recorded meeting becomes a CRM record with summary, transcript and action items, linked to the right people automatically.

Updated October 25, 2026 · 5 min read

Meetings are where deals actually move, and where CRM data usually dies, because nobody writes up the call. AI Meeting Notes fixes that: connect your Fathom AI note taker once, and every recorded meeting lands in Vetta as a structured record, linked to the participants automatically.

Fathom is the meeting recorder Vetta integrates with today.

What an AI Meeting Note contains

Each meeting note is a full CRM record with:

  • Meeting Title: what the call was
  • Summary: the AI-written recap, covering the purpose of the call, the key takeaways, the topics discussed and the next steps
  • Transcript: the full text of the conversation (with its language), showing how long each person spoke and every line with its timestamp
  • Action items: the commitments and next steps extracted from the call, showing what each side agreed to
  • Share URL: a link to the original recording
  • Calendar Invitees and Meeting Participants: who was on the call

On a record, the meeting opens with four views: Summary, Transcript, Action items and Invites.

You'll find them under AI Meeting Notes in your entities, with all the usual capabilities: views, filters and search.

Bringing recorded calls into the CRM as AI meeting notes. In Settings, under Integrations, add the recorder's API key on the AI Meeting note taker card, connect and import calls. Each call is matched to invited people by email. On a contact, the AI Meeting Note tab lists meetings, and one opens with the summary (purpose, takeaways, topics, next steps), the transcript with speaking time and timestamps, Action items for each side and Invites. Use it to review past calls.

Transcript

Connect your meeting recorder once. In Settings, under Integrations, add its API key on the AI Meeting note taker card, connect, and import your recorded calls. From then on, each call is matched to the people invited, by their email. Open a contact, and the AI Meeting Note tab lists their meetings. Open one to read the summary: the purpose, key takeaways, topics and next steps. The transcript shows how long each person spoke, and every line with its timestamp. Action items lists what each side agreed to, and Invites shows who was on the call. Each Friday, Alex asks Claude to turn calls into tasks. Claude reads five calls and creates eleven tasks. Claude, ChatGPT or any assistant you connect to Vetta works on your real workspace, so let it type, then give it a bigger job each week. In Vetta, check each Tasks tab and its due dates.

Automatic participant matching

The part that makes this CRM-grade: Vetta matches each meeting to your People records by the email addresses of the people invited. When you open a contact's record page, the AI Meeting Note tab lists the meetings they were part of, summary and action items included, right next to their conversations and timeline.

That means "what happened on the last call with this account?" is answered on the record itself, not in a separate meetings tool.

Meeting notes in automation

Meeting activity is a first-class signal in the rest of the system:

  • Sequences: the Created AI Meeting Note condition branches on whether a meeting happened: if yes, stop outreach and hand off; if no, keep following up
  • Workflows: trigger on new AI Meeting Note records to create follow-up tasks from a call, or feed the summary to an AI agent step that updates deal fields
  • Vetta Brain: meeting notes are one of the sources Vetta Brain reads when it writes a person's or opportunity's brief
  • Ask Vetta: meeting summaries and transcripts are part of the context Ask Vetta can draw on when you ask about an account

Practical tips

  • Record consistently: the value compounds when every external call lands in the CRM; patchy recording means patchy context
  • Use action items: they're extracted per meeting; a workflow can turn them into real Tasks assigned to the owner
  • Check participant emails: matching works on email addresses, so a participant invited with a personal address only matches when that address is on their Person record. Add it there so their meetings show on the correct timeline
  • Keep private calls out: Vetta only syncs the meetings Fathom shares with it, so set Fathom's own sharing settings to leave out the calls you don't want in your CRM. A note that already came in can be deleted like any other note
ℹ️

A meeting only shows on a contact's record when one of its invitees' email addresses belongs to that person. If a call is missing from a record, check the invitee list in the meeting's Invites view first.

Common questions

Which meeting recorders work with Vetta?

Fathom is the meeting recorder Vetta integrates with today. Connect it from Settings → Core Integrations with your Fathom API Key. See Connecting Fathom.

How do I bring in meetings recorded before I connected Fathom?

Open the account's ⋮ menu and choose Import. New recordings sync automatically from then on. See Connecting Fathom.

Why isn't a meeting showing on a contact's record?

Matching works on email addresses, so the meeting only shows when one of its invitees' addresses is on that person's record. Check the Invites view and add the missing address to the Person record. See Practical tips.

Where do I find all my meeting notes?

Under AI Meeting Notes in your entities, with views, filters and search. Each note opens with Summary, Transcript, Action items and Invites. See What an AI Meeting Note contains.

Can a sequence stop when a meeting happens?

Yes. The Created AI Meeting Note condition branches on whether a meeting happened: stop outreach and hand off if yes, keep following up if no. See Meeting notes in automation.

Can action items become tasks?

Yes, through a workflow that triggers on new AI Meeting Note records and turns the items into Tasks assigned to the owner. See Practical tips.

Does Vetta Brain read my meeting notes?

Yes. Meeting notes are one of the sources Vetta Brain reads for a person's or opportunity's brief, and Ask Vetta can draw on summaries and transcripts too. See Meeting notes in automation.

Can I delete a meeting note, or stop one meeting from syncing into Vetta?

Yes. Delete the note in Vetta like any other note, and keep future meetings out in Fathom's own sharing settings, since Vetta only syncs what Fathom shares. See Practical tips.

Key outcome

AI Meeting Notes closes the biggest gap in CRM hygiene: the conversation that actually happened. Every call becomes searchable, structured data on the right records: summaries for managers, transcripts for context, and action items that flow straight into your automation.
