LinkedIn CRM integration

Connect your LinkedIn account to Vetta, choose which conversations come in and what teammates can read, and reconnect an account safely.

Updated October 25, 2026 · 8 min read

The LinkedIn CRM integration brings your LinkedIn conversations into Vetta. Messages appear in the Unified Inbox and on the People and Company records they belong to, so every interaction is captured without manual logging, and you can send LinkedIn steps in your sequences from the same account.

Each connected LinkedIn account has two separate settings on the Integrations page: Sync decides which conversations come into Vetta, and Message visibility decides how much of them your teammates can read.

LinkedIn sync modes

Sync has two modes, Everything and Selected. A new LinkedIn account starts on Selected, so if conversations you expected are missing, this is the first setting to check.

Everything or Selected: what LinkedIn and WhatsApp bring in0:39

Why a LinkedIn or WhatsApp conversation is missing from your inbox, and how the Sync setting fixes it. On the account in Core Integrations, a new account starts on Selected, which only brings in people already in your CRM with their LinkedIn URL or WhatsApp number. Everything creates a record for everyone you talk to and imports all your chats in the background, including cold outreach from people you do not know yet. Use it when a chat you expected is not showing. Message visibility is a separate setting.

When a LinkedIn or WhatsApp conversation is missing from your inbox, open Core Integrations and check the account's Sync setting. A new account starts on Selected, which only brings in people already in your CRM with their LinkedIn URL, or their number on WhatsApp, so to pull a conversation in, add the person with it. Switch Sync to Everything and every conversation shows up in your inbox in the background, without creating a record, and from there you add anyone you want to People. Everything also brings in cold outreach from people you don't know yet. Message visibility is a separate setting with its own video.

1. Everything mode

Vetta syncs all LinkedIn conversations from your account, including cold outreach you receive from people who are not in your CRM. Switching an account to Everything starts importing all your chats in the background.

People you talk to who are not in your CRM do not go into People or Leads. Their conversations wait in the inbox under Synced (Not in People), and you add the ones that matter with Add to people. Non-relevant conversations simply stay there, or can be unsynced from the inbox at any time (see Managing personal or unsynced conversations).

This mode suits users who want every LinkedIn conversation in one place.

2. Selected mode

Selected syncs only conversations with people already in your CRM with their LinkedIn URL on the record.

In this mode:

  • Only conversations with existing CRM records appear in Vetta
  • Conversations with anyone else are not imported: to bring one in, add the person to your CRM with their LinkedIn URL, or switch Sync to Everything
  • Your Unified Inbox stays focused on the people you already track

This option is useful if you receive a high volume of LinkedIn messages and do not want all of them in your inbox.

Message visibility

Message visibility decides how much of your LinkedIn conversations a teammate can read, for example when they open a contact's record:

  • Everything: message content and participants are shared with your team
  • Metadata: only the timestamp and participants are shared, with the content hidden

You always see everything on your own account. A new LinkedIn account starts on Metadata unless you saved different defaults. Message visibility has nothing to do with which conversations come in: that is Sync.

Message visibility: what your teammates can read0:39

What your teammates can read on a connected LinkedIn account, and how to change it. The Message visibility setting has two levels: Everything lets a teammate see the whole conversation on a record, and Metadata shows only the timestamp and the participants, with the content hidden. The account owner always sees everything. A new account starts on Metadata, or on your last choice. Email calls it Email visibility and adds Subject and metadata. Use it when you worry about privacy. Which conversations come in is the Sync setting.

Transcript

Alex has connected LinkedIn, and Message visibility decides how much his teammates can read. With it on Everything, here's what Maya, his teammate, sees on Sofia's record: the whole conversation. Switch it to Metadata and she only sees the timestamp and the participants, with the content hidden. Alex, who owns the account, always sees everything. A new account starts on Metadata, or on whatever you chose last. On email it's called Email visibility, and it adds Subject and metadata. That's separate from Sync, which decides which conversations come in, and it's covered in Everything or Selected.

Importing conversations and creating records

With the Vetta Chrome extension, you can push profiles from LinkedIn or from a Sales Navigator search into Vetta, with their name, job title, company and LinkedIn URL, and send them to People, an agent, a pipeline or a sequence. A push is a manual action on the profiles you pick: Sales Navigator lists and saved searches do not sync on their own.

From the Unified Inbox, you can:

  • Add the person behind a conversation to People in one click with Add to people
  • Link conversations to People, Companies and Opportunities

This makes it easy to turn LinkedIn interactions into structured CRM data without switching tools.

Sales Navigator

There is no separate Sales Navigator connection. If the LinkedIn account you connect has Sales Navigator, Vetta detects it, and conversations from your Sales Navigator inbox appear in their own Sales Navigator tab in the Unified Inbox. The same Sync rule applies to them.

Each person connects their own LinkedIn account. You can connect several LinkedIn accounts to one workspace, and each extra social account is a $19 a month lever in Settings > Billing (see Registration & plan selection).

Collaboration across your team

LinkedIn conversations are normally locked inside one person's account. In Vetta, the account owner can share a connected account from its row in Settings > Core Integrations (the share button next to the three-dot menu), with View Only or Full access. Full access lets the teammate send from the account. A single conversation can be shared from the inbox instead.

Roles and visibility groups do not decide who can read your inbox: sharing does. See Inbox filters, views and collaboration.

How to enable LinkedIn sync

  1. Open Settings from the sidebar
  2. Go to Core Integrations
  3. Click Add on the LinkedIn integration
  4. Sign in to LinkedIn in the window that opens
  5. Back on the Integrations page, select the account and choose its Sync mode and Message visibility

The account shows Importing while its history comes in, then Active. The first sync can take up to 8 hours.

Connect your accounts1:22

Connecting your email, calendar, LinkedIn and WhatsApp so Vetta can see your conversations. It goes through Settings, then Integrations under Core Integrations, and the card for each channel: Add on the Email card for Google, Microsoft or IMAP and SMTP, email visibility (Everything, Subject and metadata, Metadata), Contact auto-creation, and for LinkedIn and WhatsApp the Message visibility and Sync (Everything or Selected) settings. A new account shows Importing, then Active. Use it for first-time account setup. Each setting has its own video.

Your CRM in Vetta works best when it can see your conversations. Open Settings, then Integrations under Core Integrations. Each channel has its own card: email, Google calendar, LinkedIn, WhatsApp, and your AI meeting note taker. To connect a mailbox, click Add on the Email card, and choose Google, Microsoft, or any other provider over IMAP and SMTP. Back on the card, decide what your team can see. Everything shares the subject, body and attachments. Subject and metadata leaves the body out, and Metadata shows only who and when. You always see your own messages in full; this only changes what teammates see. Contact auto-creation adds the people you email: sent and received, sent only, or none. Your calendar works the same way, with its own visibility and contacts from your meetings. LinkedIn and WhatsApp connect through a secure sign-in, and each account has two settings. Message visibility decides how much teammates can read: Everything, or Metadata, which shows only who and when. Sync decides which conversations come in: Everything, or Selected, only the ones with people already in your Vetta workspace. A new account shows Importing while its history comes in, then Active, and your contacts' timelines fill in on their own.

Account safety

Vetta connects through your own LinkedIn sign-in. It is not an official LinkedIn integration, so LinkedIn can restrict an account, and Vetta cannot promise that this will never happen.

What Vetta does to lower the risk:

  • Global Sending Limits cap each action per connected account over a rolling 24 hours. They are set once for the whole workspace, not per sequence; the recommended defaults are shown in the app, with a warning if you go above them. As a guide, keep each account to 15 to 20 invitations and messages a day. See Configuring communication steps.
  • Sequences only send inside their sending window.
  • An account that LinkedIn disconnects is held, and nothing is sent from it until it is reconnected.
⚠️

The limits count what Vetta sends, not what you do by hand. If you also send invitations or messages manually from the same LinkedIn account, LinkedIn sees both, so keep your manual outreach in mind.

Reconnecting a LinkedIn account

If LinkedIn signs your account out, its row in Settings > Core Integrations shows Sync failed, a banner asks you to reconnect, and sending from that account stops.

  1. Click the three dots on the account's row
  2. Select Reconnect
  3. Sign in to LinkedIn again with the same account

Reconnecting keeps the same account, its conversations and the sequences sending from it. Signing in with a different LinkedIn account is refused: Reconnect only brings back the account you originally connected. Do not remove the account to fix it: Remove account deletes the data linked to it.

Where to see your LinkedIn conversations

Unified Inbox

The Unified Inbox centralises conversations from LinkedIn, WhatsApp and email, with Sales Navigator conversations in their own tab. If a conversation is missing, see Understanding the Vetta unified inbox.

Record conversations

Each Person or Company record contains a Conversations tab where synced LinkedIn messages appear. From there, you can review the history, reply directly from Vetta and keep a complete record of your sales interactions.

💡

Combined with WhatsApp and email sync, Vetta can analyse your conversations to deliver scoring, signals and next-best-action recommendations.

Common questions

Why are conversations missing after I connected LinkedIn?

A new LinkedIn account starts on Selected, so only conversations with people already in your CRM with their LinkedIn URL on the record come in. Add the person with that URL, or switch Sync to Everything. See LinkedIn sync modes.

What's the difference between Everything and Selected?

Everything imports all your LinkedIn chats in the background, including cold outreach from people not in your CRM. Selected only syncs conversations with existing CRM records that have the LinkedIn URL. See LinkedIn sync modes.

Does Everything mode put everyone I talk to into People?

No. Contacts not in your CRM wait in the inbox under Synced (Not in People), and you add the ones that matter with Add to people. See Everything mode.

Who can read my LinkedIn messages?

You always see everything on your own account. Message visibility decides what teammates see: Everything shares the content, Metadata (the default for a new account) shares only the timestamp and participants. See Message visibility.

How do I reconnect a LinkedIn account that shows Sync failed?

Click the three dots on the account's row in Settings > Core Integrations, select Reconnect, and sign in to LinkedIn again with the same account. Don't remove the account to fix it. See Reconnecting a LinkedIn account.

Can I reconnect with a different LinkedIn account?

No. Reconnect only brings back the account you originally connected, and signing in with another one is refused. See Reconnecting a LinkedIn account.

Do I need a separate connection for Sales Navigator?

No. If the LinkedIn account you connect has Sales Navigator, Vetta detects it and shows those conversations in their own Sales Navigator tab, with the same Sync rule. See Sales Navigator.

Can LinkedIn restrict my account because of Vetta?

It can. This is not an official LinkedIn integration, so Vetta cannot promise it won't happen; Global Sending Limits and sending windows lower the risk. See Account safety.

Key outcome

With LinkedIn connected, your LinkedIn conversations become part of your sales system: the ones you choose come into the inbox and onto the right records, your team reads as much as you allow, and you know how to keep the account connected and within safe limits.
