Understanding multi-channel sequences

Vetta Sequences automate coordinated outreach across Email, LinkedIn, and WhatsApp using steps, conditions, and AI: all in a visual flow builder.

Vetta Sequences allow you to automate coordinated outreach across Email, LinkedIn, and WhatsApp without writing code or manually sending individual messages.

Instead of sending one message at a time, sequences let you create a complete automation flow where contacts move through predefined steps based on their engagement, data, and your business logic.

Every step in a sequence is an action (send email, visit LinkedIn profile, create task), and every transition between steps can be controlled by conditions (does the contact have an email address? did they reply to the last message?). This ensures that your outreach feels coordinated, timely, and respectful of each contact's communication channel preference.

You'll find Sequences in the sidebar under the Automation section, next to Workflows.

What is a multi-channel sequence?

A sequence in Vetta is an automated series of actions that each enrolled contact progresses through based on predefined logic.

When you enrol a contact in a sequence:

  • The contact enters at the Start node
  • Vetta executes the first step (for example, send an email)
  • The system waits for the configured delay (immediately, 1 day, 2 days, etc.)
  • The next step executes, OR a condition is evaluated to determine the path

For example, a sequence might start by checking "Has LinkedIn URL?"

If Yes → View LinkedIn Profile + Send LinkedIn Message

If No → Send Email instead

This approach allows the same sequence to work intelligently for different contacts based on their data and engagement.

The sequence builder interface

Vetta provides a visual sequence editor where you design automation flows on a canvas:

  • Start node: where all contacts enter; it is always the first element and cannot be deleted
  • Step nodes: actions (Send Email, Send LinkedIn Message, etc.)
  • Condition nodes: decision points with Yes/No branches
  • Connectors: the flow from one node to the next

When you click any step or condition, a configuration panel appears where you can edit the message content, change timing, select senders, insert personalisation variables, and preview the result.

Available steps

Steps are organised by category in the step picker:

Email

  • Send Email

LinkedIn

  • Send LinkedIn Message
  • Send LinkedIn Connection Request (waits and splits on whether the invitation is accepted)
  • Delete LinkedIn Connection Request (withdraw a pending request)
  • View LinkedIn Profile

WhatsApp

  • Send WhatsApp Message

User Actions

  • Parallel Paths (split the flow into paths that run side by side)
  • Create Task
  • Create Note
  • Create Record
  • Update Record
  • Send to Another Campaign (move the contact to a different sequence)
  • Trigger Workflow (start a Vetta workflow)

Enrichment

  • Enrich: look up missing data (like an email address) before continuing; if enrichment fails, the contact's run stops rather than proceeding with missing data

AI

  • Qualify Lead (listed as ICP Checker in the step picker): AI scores each lead against your ICP and stops the ones that do not fit

AI-written messages don't need a step of their own: you insert an AI variable into any email, LinkedIn or WhatsApp step, and AI writes that part for each contact. See Setting up AI variables.

Every step has timing controls: run immediately, or wait X minutes/hours/days after the previous step.

Conditions

A condition is a decision point that evaluates whether the contact meets specific criteria, creating a Yes and a No path. See Designing flow with conditions for the full guide.

Email conditions: Has Email Address, Opened Email, Clicked Email Link, Unsubscribed from Email, Replied to Email

LinkedIn conditions: Has LinkedIn URL, Has LinkedIn Connection, Accepted LinkedIn Invitation, Opened LinkedIn Message, Replied to LinkedIn Message

WhatsApp conditions: Has Phone Number, Opened WhatsApp Message, Replied to WhatsApp Message

User action conditions: Created Calendar Event, Created AI Meeting Note, Custom Condition (build your own check on any contact field)

Supported channels

Email

Send emails from your connected accounts. Tracks opens, clicks, and replies. By default a reply stops that contact's sequence, and Single thread emails keeps all messages in one thread. Both are set in the sequence's settings.

LinkedIn

Send direct messages (to existing connections), connection requests, and profile visits. Global Sending Limits cap each action per connected account every 24 hours, across all your sequences, to protect your accounts.

WhatsApp

Send text messages via WhatsApp. Requires the contact's phone number. Best for quick confirmations and time-sensitive follow-ups.

How sequences connect to your CRM

Sequences are not separate from your CRM; they are part of your operating system:

  • Every send, open, click, and reply is recorded on the contact's record
  • Each enrolled contact has a Stage that tracks their journey (Sequencing, Contacted, Replied Positive, Info Requested, Meeting Set, Lost…), and replies are classified automatically
  • Create Task and Create Note steps add to the contact's timeline
  • Sequences can trigger Vetta Workflows for complex logic: and workflows can enrol contacts into sequences
  • AI Reply Settings can write a draft reply when a contact responds and create a task for the owner; a person reviews and sends it, nothing is sent automatically

Common questions

Where do I find Sequences?

In the sidebar under Automation, next to Workflows. Click New there to start one. See Creating your first sequence.

What's the difference between a sequence and a workflow?

Sequences send the outbound messages (email, LinkedIn, WhatsApp); workflows automate CRM work on triggers and can enrol contacts into a sequence, but don't send messages themselves. See Understanding Vetta workflows.

Do I need a separate step for AI-written messages?

No. Insert an AI variable into any email, LinkedIn or WhatsApp step and the AI writes that part for each contact. See Available steps.

What happens when a contact replies?

By default a reply stops that contact's sequence. The reply is classified, the contact's stage is updated, and with AI Reply Settings on a draft answer is written for a person to review and send. See How sequences connect to your CRM.

Can I send a LinkedIn message to someone I'm not connected with?

Direct messages go to existing connections only. Use Send LinkedIn Connection Request first: it waits and splits on whether the invitation is accepted. See Available steps.

What are the sending limits and where are they set?

Global Sending Limits cap each action per connected account every 24 hours, across all your sequences. They are set once for the whole workspace, from any sequence's settings. See Configuring communication steps.

What does the Enrich step do if it can't find the data?

The contact's run stops rather than proceeding with missing data. See Available steps.

Can I delete the Start node?

No. It is always the first element of the flow, where every contact enters. See The sequence builder interface.

Key outcome

Multi-channel sequences allow you to automate coordinated outreach across Email, LinkedIn, and WhatsApp. By combining steps, conditions, timing, and AI, you create intelligent flows that respect each contact's preferences, channel availability, and engagement level, while keeping your CRM fully updated throughout.
