Managing records in table view

Create, import, edit and export records in Vetta's table view, and act on many contacts or deals at once.

Updated October 25, 2026 · 6 min read

The table view is where you create, import, edit and export records in bulk. Every entity and pipeline in Vetta has one: rows are records, columns are fields, and you can edit in place or act on many records at once.

What is a record?

A record is a single instance within an entity. Examples include a person like John Smith, a company like Acme Corp, or an opportunity such as Series A Fundraising. Each record contains information organized through fields like job title or deal value, and can be linked to create relationships across the CRM.

Creating records

Quick Create: Use the New button from any table or Kanban view, fill in required information (typically the Name field), and the record is created instantly.

From Pipelines: In Kanban views, use the add button inside a stage column to create a record already set to that stage.

From Record View: When viewing an existing record, you can create related records, such as attaching a company to a person or creating an opportunity from a company record.

Records you create on the People page land in People; records you create on the Leads page land in Leads. See Understanding the Vetta data model.

Importing records in bulk

To bring in a spreadsheet without typing a single row:

  1. On the entity's table (for example People), open the menu next to New and click Import.
  2. Check Target Database, the entity the rows go into.
  3. Choose the import mode:
    • Create Only adds new records and skips any row that matches a record you already have
    • Update Only refreshes the records you already have and skips the rest
    • Create & Update does both
  4. Upload your file (.csv, .xlsx or .xls) and check the preview.
  5. Match your spreadsheet columns to Vetta fields. Columns whose names fit are matched on their own; a full name column splits into first and last name.
  6. Map at least one unique value, such as an email, a phone or a LinkedIn URL. Next Step stays off until you do, because that is how Vetta recognizes people you already have.
  7. Click Validate data to flag anything that does not fit, such as a value that is not yet an option of a Select field. Add the missing option or fix the row.
  8. Untick any row you want to leave out, then start the import.

Importing contacts from a spreadsheet. On People, open the menu next to New and click Import. Choose the Target Database, the import mode (Create Only, Update Only or Create and Update), upload a CSV, XLSX or XLS file, and check the preview. Map columns, including Full name and Email; Next Step stays off until a unique value such as email, phone or LinkedIn URL is mapped, because that is how existing people are recognised. Validate data flags problems, and you can untick rows.

Your contacts are sitting in a spreadsheet, and you want them in Vetta without typing a single row. On People, open the menu next to New and click Import. Target Database is where the rows go, here People. Then choose the import mode. Create Only adds new people and skips anyone you already have. Update Only refreshes the people you have and skips the rest. Create and Update does both. Now upload your file, a CSV, XLSX or XLS, and check the preview. Next, match your columns. Job Title, City and Persona matched on their own, because their names fit. Set Full name, which splits into first and last name, then Email. Until a unique value like an email, a phone or a LinkedIn URL is mapped, Next Step stays off, because that's how Vetta recognizes people you already have. Validate data flags anything that doesn't fit. Advisor isn't a Persona option yet, so add it. Last, untick any row you want to leave out, start the import, and the new people land in your list. After each roundtable, Alex pastes the list into Claude. Claude imports 40: 34 new, 6 updated. Claude, ChatGPT or any assistant you connect to Vetta works on your real workspace, so paste the next list, then go bigger. In Vetta, check the 34. Bigger files still use Import.

An import from the People page puts people in People. To bring a list in as leads instead, use Import CSV from an agent's Add leads menu. For how imports avoid duplicates, see Managing duplicates and merging records.

Updating records

Inline Editing: Click any field in the table and update it directly without opening the record.

Bulk Updates: Select multiple rows and apply changes simultaneously to all selected records.

Kanban Updates: Drag and drop cards between stages to update their stage field.

When you select rows, a bar appears at the bottom of the table with actions for the selection. On People, for example, Add to puts the selected people into an agent, a sequence, a pipeline or an opportunity, and on Leads the bar shows Promote.

Linking records

Records connect across entities through relationships. Link people to companies, opportunities to people and companies, or tasks and notes to any record by updating relationship fields from table or record views.

Exporting records

You can take records out of Vetta as a CSV file:

  • A whole view: open the menu next to New and click Export. The file contains the records in the view you are on
  • Selected records: tick the rows, then choose Export records from the selection's actions

To export an agent's leads, use Export on the agent's leads list, which offers CSV or Excel and applies your current filters and sort. See Reviewing agent leads.

Table view vs Kanban view

Table view displays records in rows and columns, ideal for data entry and bulk editing, and can group rows into collapsible sections by a Select field. Kanban view shows records as cards organized in columns by a Select field, better suited for pipeline tracking and visual workflow management. Both display the same underlying records in different formats; you can switch between them at any time via views.

Common questions

How do I import a spreadsheet?

On the entity's table, open the menu next to New and click Import. Choose the import mode, upload your .csv, .xlsx or .xls file, match the columns and start the import. See Importing records in bulk.

Why is Next Step greyed out in the import?

You haven't mapped a unique value yet. Map at least one of email, phone or LinkedIn URL, because that's how Vetta recognizes people you already have. See Importing records in bulk.

Why did my imported contacts land in People instead of Leads?

An import from the People page always puts people in People. To bring a list in as leads, use Import CSV from an agent's Add leads menu instead. See Importing records in bulk.

Why did Validate data flag some rows?

A value doesn't fit its field, most often a value that isn't yet an option of a Select field. Add the missing option or fix the row, and you can untick any row you want to leave out. See Importing records in bulk.

How do I edit many records at once?

Select the rows and apply the change to all of them. You can also click any cell to edit it in place without opening the record. See Updating records.

How do I add several people to a sequence, agent or pipeline?

Select the rows, then use Add to in the bar at the bottom of the table and pick an agent, a sequence, a pipeline or an opportunity. See Updating records.

How do I export my records?

For a whole view, open the menu next to New and click Export. For selected rows, tick them and choose Export records from the selection's actions. Both give you a CSV. See Exporting records.

When should I use the table and when the Kanban?

Table for data entry and bulk editing, Kanban for tracking records through stages by dragging cards. Both show the same records, and you can switch any time. See Table view vs Kanban view.

Key outcome

You can now create records one at a time or import thousands from a spreadsheet, edit them in place or in bulk, act on a selection, and export any view as a CSV. The table view keeps your data work in one place, whatever entity you are working on.
