Managing personal or unsynced conversations
Keep personal threads out of your CRM, and know the difference between Unsync, Archive and deleting a person in the Vetta inbox.

Because Vetta syncs your real email, WhatsApp, and LinkedIn accounts, your inbox naturally contains conversations that have nothing to do with sales: colleagues, friends, newsletters. Vetta keeps your CRM clean by letting you decide per contact who belongs in your People database, and by letting you Unsync anyone at any time. Unsync, Archive and deleting the person are three different actions, and this article explains when to use each.
Tracked vs. untracked
- Untracked (section: Synced (Not in People)): the conversation is visible in your inbox, but the contact is not in your People database. Contacts that LinkedIn or WhatsApp Sync on Everything brings in start here.
- Tracked (section: Added to People): you clicked Add to people; the contact is in your People database and the conversation feeds their activity timeline.
Personal conversations can simply stay untracked: they stay in your inbox and out of your People database.
Untracking a contact
If a contact was tracked by mistake, or a thread turns personal, you can stop tracking:
- Open the conversation (or select one or more threads in the list)
- Choose Remove from people in the conversation header (or the Un Sync bulk action). If you start from the sender's avatar on a message, Vetta asks you to confirm and you click Remove
- The contact leaves your People database, and the thread returns to Synced (Not in People)
The conversation history itself remains visible in your inbox, and nothing changes in your mailbox or LinkedIn account. What changes is the CRM side: teammates who saw the conversation through the contact's record lose access to it.
Unsync, Archive and Delete: three different actions
These three are easy to confuse, and they do very different things:
| Action | What it does | Use it when |
|---|---|---|
| Un Sync / Remove from people | Removes the contact from your People database. The mailbox and the conversation in your inbox are untouched, but teammates lose access through the CRM | The contact is personal or not a business relationship |
| Archive | Works like archiving in Gmail or Outlook: the thread leaves your main list and stays complete under the Archived filter. The contact stays in your CRM | You are done with the thread for now but the relationship still matters |
| Delete the person record | Removes the person record from your CRM entirely, not just from People | The record should not exist at all, for example a duplicate or test contact |
Deleting a person does not stop new messages. If the mailbox's Contact auto-creation or the account's Sync still creates records for that contact, their next message can bring the person back as a new record. To keep a personal contact out for good, untrack them instead of deleting them.
Deleting the Person record
Delete a person from the People table or from the actions on their record page. Deleted records go to the deleted view first: open See deleted records in the People table's options, then use Restore records for a person deleted by mistake, or Permanently destroy record to remove it for good. See Managing records in table view.
Re-tracking a conversation
If an untracked conversation becomes business-relevant, open it and click Add to people again. The contact is added to your People database and the thread links to them. From that point on, activity lands on their timeline, and you can attach pipelines and opportunities as usual (see Linking conversations to CRM records).
Why this matters
- Personal exchanges stay out of the CRM: teammates browsing records don't see them
- Your People database stays focused: it holds the relationships you chose to track, not every address you ever emailed
- Nothing is lost: untracked and archived threads are still in your inbox when you need them
Common questions
How do I keep personal chats out of my CRM?
Leave them untracked. They stay in your inbox under Synced (Not in People) and never enter your People database. See Tracked vs. untracked.
What's the difference between Un Sync and Archive?
Un Sync removes the contact from your People database but leaves the thread in your inbox. Archive hides a finished thread under the Archived filter while the contact stays in your CRM. See Unsync, Archive and Delete.
If I remove someone from People, do I lose the conversation?
No. The history stays visible in your inbox and nothing changes in your mailbox or LinkedIn account; only teammates lose access through the CRM. See Untracking a contact.
I deleted a person and they came back. Why?
If the mailbox's Contact auto-creation or the account's Sync still creates records for that contact, their next message brings them back as a new record. Untrack them instead of deleting them. See Unsync, Archive and Delete.
Can I restore a person I deleted by mistake?
Yes. Open See deleted records in the People table's options and use Restore records. See Deleting the Person record.
Can I track a contact again after unsyncing them?
Yes. Open the conversation and click Add to people again; activity lands on their timeline from that point on. See Re-tracking a conversation.
Can I unsync several threads at once?
Yes. Select the threads in the list and use the Un Sync bulk action. See Untracking a contact.
Key outcome
You now control which conversations become CRM data. Personal threads stay in your inbox without touching your People database, finished threads are archived like in your email client, and deleting is kept for records that should not exist at all.
