Creating your first sequence

A step-by-step guide to naming, designing, configuring, publishing, and enrolling contacts in your first Vetta sequence.

Updated October 25, 2026 · 8 min read

Creating a sequence in Vetta is a six-step process: name it, design the flow, review it, configure settings, publish the sequence, and enrol and launch your leads. Every outreach campaign in Vetta starts as a sequence, and nothing sends until you publish it.

ℹ️

The sequence canvas is the backbone of every sequence, including the ones inside agents. If you are just starting, a Lead Scout agent shows its sequence in a simpler view, and it is the same sequence you can open here on the canvas. See Agent sequence view or sequence canvas.

Step 1: Name your sequence

Navigate to Sequences (in the Automation section of the sidebar), click New and choose Create sequence from Scratch. Choose a descriptive name that makes the sequence easy to identify in lists, analytics, and workflow triggers.

Best practices:

  • Be specific about purpose and audience: Cold Outreach - SaaS CFOs - Q3
  • Use hyphens and parentheses for clarity: Post-Demo Follow-up - 3 Day Series
  • Avoid generic names like Sequence 1 or Outreach

After naming, you enter the editor as a Draft with a canvas showing the Start node.

Step 2: Design the flow

Add your first step from the Start node: click the + under Sequence Start, and the panel on the right lists every step type, grouped by channel (Email, LinkedIn, WhatsApp, Enrichment, AI and User Actions).

Typical first step: Send Email

  1. Select Send Email from the step picker
  2. Compose your message, or insert an AI variable so AI writes the text for each contact (see Setting up AI variables)
  1. Write the subject line (40 to 60 characters, avoid spam triggers)
  2. Personalise with variables like {{currentPerson.name.firstName}} and {{currentPerson.company.name}}: see Using personalization & messaging
  3. Decide what happens when a contact has no email: turn on Enrich if it doesn't exist to look up a missing work email before the step sends
  4. Configure timing (immediately or with a delay)
  5. Select the mailbox it sends from (at least one sender is required)
  6. Check the step has its subject and message text, then click Save
⚠️

Every step must be complete, and a step with no text is not. A sequence with an incomplete step cannot be published, and leads cannot be added to it until every step is finished.

Add subsequent steps and conditions to build your flow. For example, "Has LinkedIn URL?" to branch between LinkedIn and email touches.

Step 3: Review the flow

Before publishing, walk the canvas end-to-end:

  • Preview individual steps to check email content and variables
  • Trace both branches of every condition
  • Check for typos or broken variables

Take your time here. After the first publish you can still edit steps and add new ones at the end, but you can no longer delete or reorder the steps you have.

Step 4: Configure settings

Open the sequence's settings from the gear in the toolbar and review each section:

  • Sequence Settings: when it sends. The timezone, the days (Send on) and hours, how many minutes to wait between one contact and the next (Reach out to leads every), Enable auto launch for this campaign for new leads, Single thread emails, Priority for Owner, and Tracking Options. Turning off Track email opens and Track link clicks helps deliverability, but the Opened Email and Clicked Email Link conditions and the open and click stats stop working.
  • Global Sending Limits: the daily cap for each channel, applied across every sequence in the workspace (see below)
  • Reply and Exit Settings: who stops getting the campaign. Stop a contact when they reply or click a link, and optionally their colleagues at the same company; create a task on reply; let AI mark replies as interested or not interested; or trigger a workflow on reply or after a period of no reply
  • LinkedIn InMail: each LinkedIn sender's remaining InMail credits
  • Business Context: the documents the AI writes from
  • Enrichment: looks up extra details about each lead before their first message is written
  • AI Message Settings: sets up AI variables for the steps (see Setting up AI variables)
  • AI Reply Settings: drafts an answer when a contact replies and can create a task to review it; a person always sends the reply

Click Save Changes when you are done.

Global Sending Limits are set once for the whole workspace and count per connected account, per action, over a rolling 24 hours, so adding senders adds volume. They are not set per sequence: changing them here changes them for every sequence. Each field shows the recommended value, and a warning appears if you go above it. The limits count what Vetta sends, not what you do by hand, so be mindful of manual outreach from the same account. See Configuring communication steps.

Step 5: Publish the sequence

Click Publish. The first time, the confirmation reminds you that you will no longer be able to add, remove, or reorder steps, and that you can still edit senders, modify the details of existing steps and add new steps to the end. Click Publish Sequence. The sequence status changes from Draft to Published: the toolbar now shows Published and Analytics, and Disable replaces Publish.

ℹ️

To change a published sequence, click Disable, edit, then Publish and Re-Publish. Leads keep their place, and those who have not reached an edited step get the new version. See Publishing & managing sequences.

Step 6: Enrol and launch leads

Open Leads in the sequence toolbar to see the Lead List, then add the people you want to reach.

Add leads

  • From the sequence's lead list: Import list from database, pick People or a pipeline, tick the contacts and click Import People
  • From the CRM: select contacts in a table view and use Add to Sequence
  • Automatically via Workflows: use the Add to Sequence Campaign workflow action to enrol contacts when conditions are met (e.g., every new high-score lead), see example automations

Track them

Once the sequence is published, enrolled leads start automatically when Enable auto launch for this campaign is on in Sequence Settings. Click Published in the toolbar to follow them: leads waiting to start sit in the To Publish tab, and leads in progress appear in the Published tab with their status.

Email sender assignment

You select which connected accounts can send for each channel, and Vetta picks one of them at random for each lead. With Priority for Owner enabled, a lead who has an assigned Owner gets the owner's sender account first; leads without an Owner are still spread at random across the selected senders.

Common questions

Does anything send before I publish?

No. The sequence stays a Draft and nothing sends until you click Publish. See Step 5: Publish the sequence.

Can I edit a sequence after it's published?

Yes. Click Disable, edit, then Publish and Re-Publish. Leads keep their place, and those who have not reached an edited step get the new version. See Step 5: Publish the sequence.

Why can't I delete or reorder steps anymore?

After the first publish you can edit steps and add new ones at the end, but not delete or reorder the ones you have. That's why the review before publishing matters. See Step 3: Review the flow.

Where are the sending limits set, and are they per sequence?

In Global Sending Limits, in the sequence settings. They apply to the whole workspace and count per connected account, per action, over a rolling 24 hours, so changing them in one sequence changes them everywhere. See Step 4: Configure settings.

Why didn't my leads start after I added them?

Leads start only once the sequence is published and Enable auto launch for this campaign is on in Sequence Settings. Leads waiting to start sit in the To Publish tab. See Step 6: Enrol and launch leads.

What happens if a contact has no email address?

Turn on Enrich if it doesn't exist on the email step and Vetta looks up a missing work email before the step sends. See Step 2: Design the flow.

Which account sends each email?

One of the senders you selected on the step, picked at random. With Priority for Owner on, a lead who has an assigned Owner gets the owner's sender account first, and the rest are spread at random across the selected senders. See Email sender assignment.

Should I turn off open and click tracking?

It helps deliverability, but the Opened Email and Clicked Email Link conditions and the open and click stats stop working. See Step 4: Configure settings.

Key outcome

Your first sequence is live and actively working to engage your contacts across email, LinkedIn, and WhatsApp, without manual sending or follow-up management. Next: monitor and optimize the results.
