Connect your WhatsApp to Vetta and manage your entire CRM. Create records, update deals, and get insights directly from chat on your phone.

Updated October 25, 2026 · 6 min read

The Vetta WhatsApp agent (Vetta AI on WhatsApp in Settings) lets you create, update and analyse your CRM by messaging Vetta from your phone, like you would message a colleague. You can type a request, send a photo of a business card or record a voice note.

Once your number is linked, you work with People, Companies, Opportunities, Tasks and Pipelines from the chat, and every change lands in your workspace. This is separate from the WhatsApp CRM integration, which syncs your own WhatsApp chats with clients into the inbox.

How to connect WhatsApp to Vetta

  1. Open Settings from the sidebar
  2. Go to Core Integrations
  3. Select Vetta AI on WhatsApp
  4. Enter your phone number with its international prefix (e.g. +971…). The QR code appears next to it
  5. Click Connect to save the number (the button reads Change once a number is saved)
  6. Scan the QR code with your phone
  7. You will be redirected to a WhatsApp chat with Vetta
  8. Send "Hello" to activate the connection

After completion, your number is linked to Vetta and the chat is ready for requests.

Set up Vetta AI on WhatsApp0:50

Setting up Vetta AI so you can use your CRM from WhatsApp. In Settings, open Vetta AI on WhatsApp under Core Integrations, type your phone number with its country code, click Change to save it, and scan the QR code to open the chat. The page then shows what you can send (text, business card photos, voice notes), the golden rule to name the entity, the filter and the action or the answer comes back empty, sample prompts, and a good request next to a vague one.

Vetta AI also works from your phone, right inside WhatsApp. In Settings, open Vetta AI on WhatsApp under Core Integrations. Type your phone number with its country code, and the QR code appears next to it. Click Change to save the number to your account, then scan the code with your phone, and a chat with Vetta AI opens. Below, the page shows how to get real results. You can send text messages, photos of business cards, which become records, or voice notes, which it transcribes and asks you to confirm. The golden rule: name the entity, the filter and the action, or the answer will come back empty. Then come five simple prompts to try, three more powerful requests, and a good request next to a vague one. From then on, your CRM is just a message away.

How Vetta works on WhatsApp

Vetta is not just a chatbot. It can create, update and analyse your entire sales operating system, and the same data is there when you open the web app.

The settings page calls this the Golden Rule: every request should name

  • The entity (people, companies, opportunities, tasks, pipelines)
  • The filter (stage, value, activity, date, or custom field)
  • The action (create, update, move, enrol, analyse)

If a request leaves these out, the answer can come back as an error or as nothing found, because Vetta has to guess which records you mean.

What you can send on WhatsApp

Text messages

Send instructions in natural language.

Example: Create a people record for John Doe with phone number +9717777777 and email john.doe@gmail.com

Images

Images are supported for business cards today. Send a photo of the card and Vetta reads the details back to you first (name, title, company, email, phone and website) so you can check them. Then tell it what to do in plain words, for example "create the contact". It asks whether the person belongs in Leads or People, and once you answer, it creates them along with their company. On the record, Created by shows Business Card OCR, so you always know where a contact came from.

Business card to contact0:44

Turning a photographed business card into a CRM contact through Vetta AI on WhatsApp. Link your number first in Settings under Vetta AI on WhatsApp, then send the photo. Vetta AI reads back the name, title, company, email, phone and website for you to check, you tell it in plain words to create the contact, and it asks whether she belongs in Leads or People. The contact and company appear in Vetta with Created by showing Business Card OCR. Use it after an event.

Transcript

You've just met someone at an event, and their card is in your hand. First, make sure your number is linked: in Settings, open Vetta AI on WhatsApp, add your phone, and scan the code to start the chat. Then send a photo of the card. Vetta AI reads everything back to you first: the name, title, company, email, phone and website, so you can check it. Tell it what to do in plain words, like create the contact. It asks whether she belongs in Leads or People, and once you answer, it creates her, along with her company. Back in Vetta, she's already there, and Created by shows Business Card OCR, so you always know where a contact came from.

Voice messages

Hold the mic and talk it through, for example right after a meeting. Vetta transcribes the voice note, finds the contact you mentioned and tells you what it is about to do, such as a note with the summary and a follow-up task with its due date. Nothing is saved yet: reply "yes" if it is right, or reply with the correction. The note then appears under Notes on the contact's record and the task under Tasks.

Voice memo to note and task0:34

Capturing a note and a follow-up task by voice after a meeting, using Vetta AI on WhatsApp. Hold the mic in your chat and talk it through. Vetta AI transcribes the voice note, finds the contact you mentioned and tells you what it is about to do, a note with the summary and a follow-up task with its due date, and saves nothing until you say yes or reply with a correction. The note then sits under Notes and the task under Tasks on the record.

Transcript

Right after a meeting is when you remember the most, and have the least time to type it. In your chat with Vetta AI, hold the mic and just talk it through. It transcribes the voice note, finds the contact you mentioned, and tells you what it's about to do: a note with the summary, and a follow-up task with its due date. Nothing is saved yet. If something's off, reply with the correction. If it's right, say yes. On the contact's record, the note is already under Notes, and the task is waiting under Tasks, due when you said.

Example requests you can try

Create a people record for John Doe with phone number +9717777777 and email john.doe@gmail.com
Move SAMPLE opportunity to Negotiation stage and change its value to $5,000
Tell me which opportunities have the highest estimated MRR
Summarise my last 10 days of WhatsApp conversations with Johnny Marcella
Show me the opportunities with no activity in the last 10 days

Chat commands

The agent understands a few commands alongside natural language:

CommandWhat it does
help or /helpList available commands
switch workspace or /switchSwitch between your workspaces
new chat or /new-chatStart a fresh conversation context
/current-chatShow which chat context you're in

Resetting the conversation

Starting a new chat (new chat or /new-chat) resets the context and ensures Vetta interprets your next request without being influenced by previous messages. Vetta also compacts older context automatically as the conversation grows.

This is recommended when:

  • You want to run a completely different task
  • You previously executed multiple CRM actions in the same chat
  • You want to avoid AI hallucinations caused by earlier context

Good prompts vs bad prompts

Specific, detailed requests generate more accurate results.

WeakStrong
"Help me with sales""Analyse opportunities and identify the bottleneck stage based on conversion rate."
"Update John to contacted lead""Update John Frank record with stage 'contacted lead'"
"Create a new lead""Create a people record for John Doe with phone number +9717777777 and email john.doe@gmail.com and create the related company called Deo & Co with domain deo&co.com"

Why this matters

Most CRM updates happen late, or never, because sales teams are busy and switching tools takes time.

With the WhatsApp assistant:

  • CRM updates happen instantly from your phone
  • Sales reps can update deals while travelling or after meetings
  • Managers receive clean and real-time pipeline data

Vetta transforms everyday conversations into structured CRM activity.

Common questions

Is this the same as syncing my WhatsApp chats into the inbox?

No. The agent lets you talk to your CRM from WhatsApp; the WhatsApp CRM integration syncs your own chats with clients into the inbox. See WhatsApp CRM integration.

Why does Vetta answer with an error or "nothing found"?

The request probably left out the entity, the filter or the action, so Vetta had to guess which records you meant. Name all three. See How Vetta works on WhatsApp.

Can I send a photo of a business card?

Yes. Vetta reads the details back to you first, asks whether the person belongs in Leads or People, then creates them with their company. See Images.

Does a voice note save straight away?

No. Vetta transcribes it and tells you what it's about to do; nothing is saved until you reply "yes" or send a correction. See Voice messages.

How do I switch workspaces from WhatsApp?

Send switch workspace or /switch. See Chat commands.

Why is Vetta mixing up my requests?

Earlier messages in the same chat are influencing the answer. Send new chat or /new-chat to reset the context before a different task. See Resetting the conversation.

How do I change the linked phone number?

In Settings > Core Integrations > Vetta AI on WhatsApp, the Connect button reads Change once a number is saved. Enter the new number and scan the QR code again. See How to connect WhatsApp to Vetta.

How can I tell a contact was created from a business card?

On the record, Created by shows Business Card OCR. See Images.
