Using inbox filters, views, and collaboration in Vetta
Filter conversations by channel, section, sequence and date, find any thread with search, and share accounts and conversations with your team.

The Vetta Unified Inbox serves as a daily workspace for sales teams, providing tools to filter conversations, organize threads, search across all communications, and work as a team. Each person's inbox shows the accounts they connected plus whatever teammates have shared with them, so this article also covers sharing a whole account or a single conversation.
Channel tabs
The top-level way to slice the inbox is by channel:
- All: every conversation across channels in one stream
- Email, WhatsApp, LinkedIn: one channel at a time
- Sales Navigator: conversations from the Sales Navigator inbox, when your connected LinkedIn account has Sales Navigator
Within each channel tab, the account picker lets you view All accounts or one connected sender account, so multi-account users (e.g., two mailboxes) can work one identity at a time. The picker lists your own accounts first, then accounts teammates have shared with you.
Sections
The inbox organises threads into sections that answer "what kind of conversation is this?":
| Section | Contains |
|---|---|
| All | Everything |
| Favourites | Threads you pinned |
| Synced (Not in People) | Conversations with contacts not yet in your People database |
| Added to People | Conversations with tracked CRM contacts |
| Groups | Group conversations |
| Unread | Threads with messages you haven't read |
| Shared Threads | Threads teammates shared with you |
The Email tab shows five of them: All, Favourites, Added to People, Groups and Unread. Email has no Synced (Not in People) or Shared Threads section.
The split between Synced (Not in People) and Added to People doubles as a triage queue: work through the first section deciding who belongs in your CRM (see Linking conversations).
Quick filters
Next to the search box, the filter button narrows the thread list to:
- Pinned: your favourites
- Archived: threads you archived
- Read and UnRead: by read state
- Drafted: threads with an unsent draft (including AI-drafted replies waiting for review)
Choose All in the same menu to clear it. Three more controls sit beside it:
- Filter by sequence: show only conversations from one sequence, or pick Not in any sequence; Clear sequence filter removes it
- Date: sort Newest first or Oldest first, and limit the list to Today, Last 7 days, Last 30 days, Last 90 days or a Custom range
- Hide in-progress outbounds: a checkbox in the conversation list panel, ticked by default. It hides people in a sequence who haven't replied yet, so the inbox shows real conversations. Untick it to see outreach still in progress
If the inbox looks emptier than you expect, check Hide in-progress outbounds and the filters first. When filters hide everything, the empty list tells you which ones are on. See Why a conversation is missing.
Search
The inbox search finds conversations by the contact's name or email. For CRM records (people, companies, opportunities), use Vetta's global search. The inbox is also accessible to Ask Vetta, so you can ask questions like "show me threads with no reply this week" in natural language.
Sharing an account or a conversation
When a teammate needs to answer a client from your connected account, you share it inside Vetta instead of handing over your login. You can share a whole connected account, or a single conversation.
Letting a teammate answer from your connected account, or see one conversation, without sharing a login. In Settings, under Core Integrations, click the share button on the account row, pick the teammate, click Invite, then choose View Only or Full access so they can send. Share Conversation shares one thread with View and Comment. Their inbox lists your account, replies show the owner and the connected account next to Send, and a Sent by tag shows who wrote it.

When a teammate needs to answer a client from your connected account, you share it instead of handing over your login. In Settings, under Core Integrations, click the share button on your account's row, pick your teammate and click Invite. Then choose View Only, or Full access so they can send. To share just one conversation, use Share Conversation, which adds View and Comment. Each inbox lists only your own accounts and the ones shared with you, so their picker now lists your account. When they reply, the two names next to Send are the account's owner on top and the connected account underneath, so it goes out as you, and a Sent by tag shows who wrote it.
Share a connected account
- Open Settings › Core Integrations › Integrations
- On your account's row, click the share button at the end of the row, next to the three-dot menu
- In Share Options, open Select users to share with..., pick your teammate and click Invite
- The teammate starts on View Only. Change their access to Full access if they should be able to send from the account
Only the person who connected an account sees its share button. Admins and super admins can see and remove accounts in the workspace, but they cannot hand someone else's account to a teammate. View Only follows the account's Message visibility: on an account set to Metadata, a View Only teammate does not get the message content.
Share one conversation
Open the conversation and click Share Conversation in its header. In Share Options, pick the teammate and choose View Only, View and comment, or Full access. The conversation appears in their Shared Threads section, and its header shows the access level they have.
Replying from a shared account
Once you share an account, it appears in your teammate's account picker. When they reply on one of its conversations, the sender control next to Send shows two lines: the account's owner on top and the connected account underneath. The message goes out from your account, and a Sent by tag under the sent message shows which teammate wrote it. On a conversation shared with them, the sender is locked to your account.
Request access
A teammate can also ask for access. On a person or lead record's conversations, a conversation they cannot open shows a Private conversation card with Request access, plus the link or their whole mailbox to ask for the full account. A conversation they can read but not answer shows View-only conversation and Request full access. The owner gets a notification and chooses Accept or Reject; until then, the requester can Withdraw request.
Roles and visibility groups decide who sees People, Companies and Opportunities, but they do not control the inbox. Inbox access comes only from owning an account or having it, or a conversation, shared with you. See Roles and permissions.
Team collaboration
Shared threads: Share any conversation with colleagues; it appears in their Shared Threads section. Use this for handoffs, second opinions, or looping in a manager on a deal-critical exchange.
Comments: Add internal comments to a conversation to discuss it without the contact seeing anything. Comments keep the debate attached to the thread instead of scattered in Slack.
Bulk actions: Select multiple threads and favourite, archive, mark them read, or un-sync them in one operation. Share threads one at a time from the conversation header.
Putting it together
A typical daily flow:
- Open All → Unread and clear responses (with AI reply drafting where useful)
- Check Drafted and send the reviewed drafts
- Sweep Synced (Not in People) and add real prospects to People
- Check Shared Threads for anything teammates need from you
Common questions
Why does my inbox look emptier than I expect?
Check Hide in-progress outbounds and the filters first: when filters hide everything, the empty list tells you which ones are on. If a conversation is still missing, see Why a conversation is missing. See Quick filters.
What does Hide in-progress outbounds do?
It hides people in a sequence who haven't replied yet, so the inbox shows real conversations. It's ticked by default; untick it to see outreach still in progress. See Quick filters.
Why don't I see Synced (Not in People) in the Email tab?
The Email tab shows five sections: All, Favourites, Added to People, Groups and Unread. It has no Synced (Not in People) or Shared Threads section. See Sections.
Who can see my conversations?
Only you, until you share an account or a conversation. Roles and visibility groups don't control the inbox, and each account's Message visibility decides how much a View Only teammate reads. See Sharing an account or a conversation.
How do I let a teammate reply from my mailbox without giving them my password?
Share the account from its row in Settings › Core Integrations › Integrations and set their access to Full access. See Share a connected account.
How do I ask for access to a conversation I can't open?
On the record's conversations, the Private conversation card has Request access (or or their whole mailbox for the full account). The owner gets a notification and chooses Accept or Reject. See Request access.
Key outcome
Your inbox now shows exactly the slice you need, by channel, section, sequence or date, and your team can work the same clients without sharing logins. Every reply from a shared account goes out under the owner's identity, with a Sent by tag that keeps it clear who wrote it.
